SOFT SERVICES SUPERVISOR

PART TIME - Permanent Role

Monday- Friday 14:30 - 18:30 (20 hours)

Highly motivated supervisor with a proven track record required helping to manage prescribed cleaning operations within a busy office environment.

Duties will include managing a team of cleaners, stock checks, managing time keeping, HR reporting and purchase of consumables by defined process to deliver a high standard to the client. Applicants must have experience in a similar role and have good leadership and management skills with an ability to lead, train and guide others to achieve consistent standards and expectations.

Must possess excellent communication skills and be comfortable liaising with a range of staff, clients and suppliers. Must be able to work on own initiative to deliver a number of competing business priorities and self-organised to ensure all contractual, health and safety and operational obligations are effectively covered on a regular basis. Must also have good written skills. Applicants will need to prove that they have a right to work in the United Kingdom and must hold a full valid driving licence.

MAIN DUTIES AND RESPONSIBILITIES

  • Manage the overall day-to-day of all soft service staff including client liaison to address any concerns raised.
  • Regularly monitor and manage individual schedules to ensure that individual tasks consistently match specific contractual agreements.
  • Daily monitoring of standards and addressing any issues with appropriate staff.
  • Supervisor will have responsibility for implementing training including tool box talks and QSHE sessions in liaison with the Soft Services Manager and ensuring that a personal development programme is applied to every operative and regularly monitored to gauge ongoing effectiveness.
  • Conduct reviews / one-to-one sessions with staff.
  • Undertaking stock control duties and placing orders for consumables.
  • Review health & safety risk assessments and organise electrical equipment testing with the Soft Services Manager.
  • Dealing with basic payroll matters including organisation of overtime, time keeping and absences submissions on a weekly basis.
  • Responsible for overseeing the timely and correct completion and submission of weekly cleaning time sheets and lost hours to include action plan to recoup said hours.
  • Assistance in creating action plans with the Soft Services Manager and Facilities Manager in conjunction with the client.
  • Assisting the Soft Services Manager to deal with staff appraisals, issues, disciplinary matters, sick leave and staff absence cover.
  • Hold regular meetings with cleaning staff to review operations and make recommendations on how services can be improved.
  • Ensure all staff within remit adhere to clients on site H&S policies including but not limited to the signing in and out the site.

KNOWLEDGE, SKILLS AND OTHER ABILITIES REQUIRED FOR THE POST

  • Possess a high level of verbal and written communication skills.
  • Experience in a similar role and be comfortable liaising with clients and contractors.
  • Have a working knowledge of WORD, EXCEL
  • With the soft services manager, be able to maintain a consistent and satisfactory standard of cleaning in conformity with specified tasks as detailed and outlined according to i-clean specifications.
  • Have a general working knowledge of Health & Safety, COSSH and sustainability.
  • Be able to travel locally to assist in other sites within a designated area and attend meetings if required.
  • A can-do attitude is essential as well as a professional approach.
  • Be pro-active, reliable and trustworthy to carry out full range of responsibilities on own initiative.
  • Ability to work positively and robustly with all team members and willing to take disciplinary action in accordance with company policy if required.
  • Knowledge of basic cleaning equipment and materials. (Training will be provided in the use of more sophisticated equipment and Health and Safety matters).
  • Applicant should possess an excellent attendance record.
  • Be able to attend any reasonable request from a manager that is within their knowledge & skills set.
  • Hold a full UK driving licence.
